Web Profiles

Email notifications

An email each time a capture made with this profile is ready, carrying a thumbnail and a link straight to it. Off by default, and worth thinking about before you turn it on.

What you get

The switch is Email me each capture, in the After the capture section of the Web Profile form. Each email contains:

  • A thumbnail preview, so you can see at a glance whether the page rendered.
  • The page, when it was captured and the profile it used.
  • A button that opens that capture in the app. The full-size file is never attached.

Captures that are not kept

For a profile set to Do not keep after delivery, the email says where the capture was delivered, or that the delivery failed, instead of offering a view.

Who receives it

The email goes to the person who created the schedule, at their confirmed email address. On Business and Business Plus, once your workspace has a confirmed notification address, it goes there instead. See Notifications.

  • With change detection on, a capture that changed can send a “page changed” email in place of this one.
  • The pages of a sitemap schedule are never emailed one by one.

One email per capture

This is the part worth pausing on. Notifications are per capture, not per day and not per schedule, and they are set on the profile — so they apply to every schedule pointing at it.

ValueMeaning
One page, dailyAbout 30 emails a month. Comfortable.
One page, hourlyAbout 720 a month. Already a lot.
One page, every 10 minutesAbout 4,300 a month. Roughly one every ten minutes, day and night.
Twenty pages sharing the profile, dailyAbout 600 a month, from a setting you changed once.

Check what else uses the profile first

Switching notifications on for a profile that forty schedules share turns on forty streams of email. If you only want alerts for one page, give that page its own profile.

When to switch it on

  • While you are setting a schedule up. The first few captures are when things go wrong — a blank page, a login wall, a cookie banner in the frame. Turn it on, confirm the captures look right, turn it off.
  • For genuinely low-frequency, high-importance pages. A weekly compliance capture is worth an email; a ten-minute uptime capture is not. To hear only when a page actually changes, use Email me when the page changes instead.
  • When somebody other than you needs to see the result. A preview in an inbox is easier for a colleague than an account they have to log into.

Cloud delivery is usually the better answer

If the point is that captures reach somewhere you already look, delivering them to Google Drive, Dropbox or your own bucket beats a per-capture email — the files arrive in a folder rather than an inbox.
